Recruitment, end to end

Launch a compliant study.

Horizon AI is the compliance operating system for clinical recruitment. It does the intake, generates IRB- and sponsor-ready materials, builds and hosts the landing page and smart screener, and runs the media plan — all wired into Vision, our HIPAA-compliant data layer.

Who it's for

One platform. Two ways in.

From protocol to approved, recruiting materials — tuned to how your team actually runs studies.

Sites & site networks

Hit enrollment — and look good to sponsors.

Get recruitment materials sponsor- and IRB-approved fast, then recruit — so you're advertising the day you're activated, not weeks later.

  • Protocol → compliance-checked materials in days, not weeks of agency back-and-forth
  • Sponsor → IRB submission tracked and cleared before your SIV
  • Hosted landing page, smart screener, and live Meta / Google campaigns
  • Every study's submission status in one board across your sites
  • Use it for materials only, or run the full recruitment funnel
Academic research

Recruit representatively — without a marketing budget.

Turn your protocol into plain-language, institution-branded materials built for representation — no agency, no marketing hire.

  • Protocol → IRB-ready materials in your institution's brand
  • Built for representation: audience casting, census + local prevalence data
  • Local- and single-IRB (sIRB) aware submission checklist
  • Community-first outreach that builds trust, not just clicks
  • Compliance cited to FDA + IRB ad standards — defensible for your board

The workflow

From protocol link to first enrolled participant — in one workspace.

Coordinators paste a link. Everything that used to take weeks of intake calls, ad reviews, and vendor pings happens in a single workspace — built around your IRB, your sponsor's playbook, and Vision.

Fast protocol intake
Paste a ClinicalTrials.gov link. Horizon parses the protocol, infers indication, eligibility, geography, and target population — and pre-fills the intake form.

Sponsor + IRB matching
Horizon matches the sponsor and IRB from a library of 90+ sponsor playbooks and 40+ IRBs, then locks the compliance ruleset. Not in the list? Upload your own sponsor or IRB any time to extend the playbook.

Materials generated
Ads, flyers, screener scripts, SMS, and email are generated against FDA, IRB, sponsor, and platform rules — simultaneously. Every flag cites its source.
04 · post-approval
Landing page & smart screener, hosted
Once IRB-approved, Horizon builds and hosts the recruitment funnel: branded landing page, adaptive screener, and routing to your site.

Vision + media plan live
Vision (HIPAA-compliant data management) ingests qualified leads. Horizon launches the media plan with channel mix and budget built around the study population.
01 · Intake

Stop filling out intake forms. Paste a link.

Horizon reads the public protocol, pulls eligibility, indication, target geography, and study arms, and proposes a sponsor profile — in under a minute. You confirm what matters, override what doesn't.

  • Parses ClinicalTrials.gov, EU CTR, and pasted PDFs of the protocol synopsis.
  • Auto-matches from a library of 90+ sponsor playbooks and 40+ IRBs — and you can upload your own sponsor or IRB any time to extend it.
  • You always pick the IRB. Horizon adapts the ruleset accordingly.
  • Site context is inherited from your embed — coordinators never re-enter site details.

Materials generated against every rule that matters.

FDA guidance, IRB review standards, sponsor playbooks, and platform ad policies — applied simultaneously, with every flag traced to its source. Submit-ready on the first pass.

  • 40+ FDA + IRB rules baseline, each cited to its source; sponsor profiles layer on top with forbidden terms, required disclosures, and tone preferences.
  • Approval-likelihood score predicts IRB outcome before submission, based on historical decisions.
  • Channel-specific outputs: Meta carousel, landing page, SMS, email, and printable flyer — each respecting the platform's healthcare ad policy.
  • Every change is logged. Every flag cites its rule.

Approved? We host the funnel.

Once the IRB clears your materials, Horizon spins up the recruitment site itself — a branded landing page, an adaptive smart screener, and routing into your existing site workflow. No vendor handoff, no separate web build.

  • Landing page generated from the same approved copy. Hosted on Horizon's IRB-blessed infrastructure.
  • Smart screener adapts question order based on protocol eligibility tree; ineligibility detected early to protect candidate experience.
  • Qualified leads land in Vision — the HIPAA-compliant data layer that powers Horizon's weekly optimization. Export to your CTMS any time.
  • Your team works directly in Horizon — one workspace for intake, materials, the screener, and live enrollment data.

  • HIPAA-compliant infrastructure with BAA in place.
  • Role-scoped access for coordinators, PIs, sponsors, monitors, and IRB.
  • Real-time enrollment dashboard, candidate funnel analytics, and outreach status.
  • Bidirectional sync with most CTMS and EDC systems.

A media plan built around your study population — not a template.

Horizon proposes the channel mix, budget allocation, and creative variants based on the protocol's eligibility profile, geography, and sponsor history. Then it runs the plan, optimizing weekly against cost-per-qualified-candidate.

  • Channel mix derived from indication, age, geography, and historical performance of similar studies.
  • Budget recommended per week, per channel, with floors and ceilings tied to enrollment timeline.
  • Creative variants A/B tested within IRB-approved copy boundaries — Horizon never goes off-script.
  • Weekly optimization built in. Pause, scale, or shift channels without a vendor email thread.

FAQ

Common questions.

How does Horizon fit into our existing workflow?+
Horizon is a standalone workspace your team logs into. A coordinator pastes a protocol link to start a study, generates materials, manages the screener, and watches enrollment from one place — no installation, no integration with your existing systems required.
Do you submit to the IRB on our behalf?+
No. Horizon prepares a submission-ready package — IRB-aligned materials, source citations, and an approval-likelihood score — that your regulatory lead submits through your usual IRB workflow. The compliance work happens before submission, not in place of it.
How does sponsor matching work if our sponsor isn't in your library?+
We ingest your sponsor's recruitment playbook, brand guide, and forbidden-terms list — usually a single half-day workshop. The profile is yours, scoped to your org, and improves with every submission.
Is Vision required?+
Yes — Vision is where qualified candidates land, and it's what powers Horizon's weekly campaign optimization. You can export leads to your CTMS or candidate database any time; Vision stays the system of record while a study is running.
What does the 20% ad-spend fee cover?+
Channel setup (Meta, Google, TikTok, SMS), weekly optimization, creative A/B within IRB boundaries, daily monitoring, and reporting. It replaces what a recruitment agency typically charges 25–35% for, plus retainer fees.
What happens after the pilot month?+
Two paths. Continue at $800/mo + 20% for the same single-site setup as long as the study runs. Or add studies, sites, or institutions and move to Enterprise, where the price per study comes down as your volume grows.

Start a pilot this month.

One study. One site. $800 — and the price per study drops as you scale. We'll have your first qualified candidate before your sponsor's next status email.
